Who we are
SeatsByFih (seatsbyfih.com) is a wedding seating chart tool. When you use our service, we collect and process certain personal data. This policy explains what we collect, why, and how long we keep it.
Data we collect
Planner accounts
When you sign up, we collect your name and email address. This is used to authenticate you and communicate with you about your account.
Guest data (entered by planners)
Planners may enter guest names, email addresses, dietary requirements, accessibility needs, and seating preferences. This data is entered on behalf of guests to organise seating arrangements.
Guest RSVP responses (submitted directly by guests)
If a planner sends an RSVP invite, guests may submit their attendance status, dietary requirements, accessibility needs, plus-one name, and seating preferences directly. The "private note" field (sit-away-from preference) is visible only to the planner and is never shared.
Payment data
Payments are processed by Stripe. We never see or store your card details. We store only your Stripe customer ID to manage your subscription.
Why we collect it
- To provide the seating chart service
- To send RSVP invitations on behalf of planners
- To send transactional emails (account confirmation, receipts)
- To process payments and manage subscription access
We do not use your data for advertising, and we do not sell it to third parties.
How long we keep it
Guest data — deleted automatically 90 days after the event date
Once an event is 90 days in the past, all associated guest records (names, emails, dietary notes, RSVP responses, seating preferences) are permanently deleted from our database. This happens automatically every night — no action is required from the planner.
Planner accounts — kept until deletion is requested
Your account remains active until you request deletion. To delete your account, contact us at the email below.
Third-party services
We use the following services to operate SeatsByFih:
- Supabase — database and authentication (EU region)
- Vercel — hosting and infrastructure
- Stripe — payment processing
- Resend — transactional email delivery
Each of these providers has their own privacy policy and data processing agreements in place.
Your rights
Depending on where you are located, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict processing of your data

Cookies
We use only essential session cookies required for authentication. We do not use tracking or advertising cookies.
